As a brief summary of Mosaic Project Updates…

 

·   The Mosaic Project Team is comprised of 149 team members:  120 UA staff (81%) and 29 consultants (19%)…as of March 1, 2011.

 

·   UAssist (Helpdesk): UAssist is back in full swing! Business process configuration within UAssist began in late February due in large part to the efforts of Michael Hirst, from the UITS Tools & Utilities team, and the addition of Ryan Tomkus to the UAssist Project. Ryan comes to the UAssist Project team from the 24/7 IT Support Center. The UAssist Project team is currently meeting with each Phase I Working Group to review their respective business processes and identify opportunities to improve customer service and streamline incident handling through such features as decision trees, scripts and templates within UAssist. ·   Degree Tracker: The degree tracker project, focused on providing degree search and degree tracking functionality for students and staff, continues to evolve with ongoing campus conversations.  Now that the internal project name has been identified (Degree Tracker), the Student Affairs marketing team and the Mosaic Communications team are collaborating to continue the external branding conversation.  The discussions and focus groups with key constituents will help determine the public product name. ·   Human Resources: Phase II of the HR implementation continues to progress well. Manager Self Service releases are on schedule:   Completed termination integration and user acceptance testing; conducted final pilot session; created training materials and implemented electronic routing and approvals for termination process. The team delivered Position Management and termination training to department representatives from 12 colleges and implemented and validated their security roles in production. Read more….

 

·   Student Administration: The SA team completed the process to facilitate $250 Late Add/Reg Fee; continued work on online transfer of PCC transcripts; and created student groups to allow Center for Exploratory Students to track pre-professional students. The first draft of a the OSFA processing and financial aid development calendar has been created. Read more ...

 

·   Financial Services: Integration test 2 will take place April – July and involve approximately 200 testers. The FS team continues to work on integration (Control M, daily schedules,  and external interfaces) and completed validation of PURAP subject area. Conversion and reconciliation of FY11 data is also taking place. Monthly conversions will occur March through Go Live. Read more…

 

·    Business Intelligence: February has seen higher than average sustained usage. Furthermore, the trend of increasing repeat usage continues. Based on headcount, adoption of UAccess Analytics usage shows a marked difference between Classified Staff (15%), Administrators (13%), AP (10%) and Faculty (2%). There is an Eller project in progress to analyze why faculty are using UAccess Analytics on a limited basis and to identify value-added offerings for them. Read more…

 

·   Research Administration: Sponsored Projects Services continues to enter Awards into UAccess Research. All University awards will be entered from 7/1/2010 to present. SPINS and UIS will continue to be the source of record for all Sponsored Projects Services activity until full back-office implementation of UAccess Research is complete. The date for final implementation of KC and retirement of SPINS has not yet been determined, but it will be this spring.

 

·   Mosaic Training Updates: Over the past two months, the training team has been offering the first hands-on workshop in the Business Office Toolkit. Over 100 people have already taken The Hiring Process, Using UAccess to Complete Standard Hiring Forms. The workshop is now being offered on a monthly basis while the team works on developing the next Hiring Process workshop. ·   New Look for UAccess Employee & Student Systems Coming This Summer!: The software tools used to create and maintain the UAccess Employee and Student applications will be upgraded this summer. The impact of a tools upgrade mostly occurs behind-the-scenes. What this means for you is that this upgrade will improve some aspects of the user interface  applications such as a new look and feel.
