Sponsorship of UA Department Sponsored Visitors (DSV) for UA NetID Access

 

What is a UA NetID?

University faculty, staff, students, and other UA Department Sponsored Visitor accounts (DSV) have access to an online service offered by UITS called the UA NetID. The UA NetID is a secure method to allow users more control and access to online personal data and information. The UA NetID can be likened to a "personal master key" capable of opening the door to a variety of online University services, many of which contain highly sensitive institutional and personal data. A UA NetID consists of an ID and password which, when used in tandem, verifies or authenticates the legitimacy of the owner as a member of the University of Arizona. Once authenticated, the owner can then establish access to UA NetID compliant computer systems and applications (U-System, E-Mail, Employee Link, site-licensed software downloads, etc.) based on resource-specific access policies, rules, or guidelines.

 

Who is Eligible for a UA NetID?

Regular employees and students can create their own UA NetID without departmental intervention, by visiting https://netid.arizona.edu. However, Sponsored Volunteers, Non-Matriculated students, Foundation Members, and others not represented by an official record in SIS and/or PSOS are not recognized systematically as UA affiliates. These individuals require departmental authorization to enable the creation of a UA NetID.

 

If you are a visitor to the UA and you will be on campus for fewer than twenty days you may not need a UA NetID. The UAGuest wireless network enables departments to sponsor guests who need access to the UA network. More information about UAGuest can be at uawifi.arizona.edu.

 

What We Are Asking You To Do, and Why

Privacy and security issues warrant that the University institute appropriate controls and procedures to ensure that only approved departmental DSVs have the ability to create and maintain a UA NetID. Therefore, UITS is asking each department to identify two full-time employees as primary and secondary DSV sponsors responsible for authenticating the UA departmental affiliation of individuals requiring NetID's because of their business. The sponsor will then have the ability to access a secure web site and establish an DSV record by entering relevant DSV data. The addition of this record, and the subsequent generation of an DSV ID and personal identification number (PIN), then enables the UA DSV to establish and maintain a UA NetID at https://netid.arizona.edu. Please note that the DSV ID and PIN are used solely for UA NetID creation and maintenance, and are not tied to any other University system or personal information.

 

This process will allow departments to initiate and complete UA DSV requests for UA NetID-based services (such as Email access) in a timely and efficient manner.

 

Assignment of Designated Sponsors for Officially Recognized UA DSVs

 

  • The Dean, Director, or Department Head must designate a primary and secondary DSV sponsor. The DSV sponsors must be full-time employees of the University (1.0 FTE). Additional sponsors may be granted, pending review by UITS.
  • To assign primary and secondary DSV sponsors, the department must:
  • Download a .doc or .pdf form located at Download Departmental Request Forms
  • Fully complete the form, and include each sponsor's name, preferred email address, UA NetID, department name(s), department number(s), and signature.
  • Print the form on departmental letterhead, and include the Dean, Director, or Department Head's original signature.
  • Fax, campus-mail, or hand-deliver the form to UITS Account Administration.
  • The Dean, Director, or Department Head must notify UITS in writing if DSV sponsorship assignment changes. Use departmental letterhead and the convenient downloadable form found at Download Departmental Request Forms

Procedure For Departmental Acquisition of a UA DSV ID

 

  • The DSV sponsor accesses a secure web form located at https://netid.arizona.edu/sponsor, enters the required UA DSV information to create an DSV record, and submits the request.
  • The system will generate the UA DSV ID and PIN online when the request is submitted. The UA DSV ID and PIN will also be delivered to the preferred email addresses belonging to the primary and secondary sponsors.
  • The DSV sponsor must then provide the UA DSV with their UA DSV ID and PIN. The DSV should then visit netid.arizona.edu to establish their UA NetID (choose the "Other DSV" option). The DSV should remember the UA DSV ID and PIN for future use if necessary (changing UA NetID's, passwords, etc.).

DSV accounts are available for those persons who are not classified as regular faculty, staff, or students. Some, but not all of the categories are:

 

  • Employees of Temporary Agencies
  • Government Agency Staff
  • Religious Center Personnel
  • Non-Matriculated Students
  • Sponsored Volunteers

DSV accounts are created by the U of A department that the DSV is assigned to. Departmental 'Sponsors' are assigned to each department to handle the details of DSV account creation.
